Conduct daily check on the grounds to ensue that the common areas are cleaned and the garden is maintained.
Conduct regular inspection with the term contracts (cleaning, landscaping, swimming pool, pest control, fire protection system and lift) to ensure that the services are carried out/maintained to the standard set by the Management and/or the authorities.
Conduct daily check on the other common property not maintained by a term contractor to ensure their soundness and proper maintenance. These include the recreational facilities, the building including the clubhouse, bin centre and guard house and all their contents (common property only), the carpark, driveway, drains, lamp posts, etc. Spot irregularities and rectified them.
Maintain a checklist on the maintenance works.
Propose/recommend improvement, repairs and upgrading works when appropriate and ensure such are carried out properly when approved.
Compliance with Statutory Requirements
Schedule cleaning of water tanks (annually), repainting of building (five-yearly), servicing of electrical installation (three-yearly), structural appraisal of building (10 yearly).
Supervise the works (excluding repainting and structural appraisal).
Ensure certificate and licenses (lift, pool signboard and electrical) are displayed at appropriate places.
Complaints and Requisitions
Receive and attend to complaints by residents and owners on common area only.
Advise and assist whenever possible, complaints beyond the Corporation's purview (this refers to problems in individual units).
Maintain a complaint log book.
Display Notice and Agenda of Council Meetings and General Meetings and List of people eligible to vote on the notice board, 1st and 2nd days respectively before the meetings.
Attend Council and General Meetings and assist in the preparation of minutes.
Follow up on the instructions given at the meeting.
Manage and supervise the Technician, the Administrative Assistant and the Security Personnel to ensure they perform to the standing orders set out.
Recommend improvement/changes to systems when necessary.
Approve the roster, overtime and leave of the Security Personnel (where applicable).
Check regularly to ensure residents comply with the by-laws.
Report to the Management any breach and recommend appropriate enforcement action.
Brief the Security Personnel on the by-law and guide them to check for breach and report to the Management.
Attend to submission for approval of renovation work in individual unit. Bring up to Council for approval if necessary.
Contracts, Agreement, Insurance, License and Certificate
Check and review all licenses and certificates before expiry.
Execute renewal and/or new contract and agreements.
Maintain records of all checklists, service, maintained reports, plans and manuals.
Monitor PUB consumption and readings and to maintain and update the consumption charts.
To carry out any other duties as and when required by the Management Council.
Minimum Qualifications :
Diploma in Facilities Management or Mechanical/Electrical Engineering (or equivalent) with at least 1 to 2 years of relevant experience preferred.
NTC 3 - Mechanical/Electrical Wiring Installation or Electronics with 3 - 4 years of related experience and consistently good performance.
